Bulk Upload Process
Overview
The Bulk Upload Feature allows you to upload multiple Design Registrations or make several edits to existing Design Registrations all at once. The Bulk Upload Template is linked below, so you always have access to the latest template version.
Batched Design Registrations are viewable as soon as they are uploaded, allowing you to review them immediately, and they are editable until approved. Intel Representatives receive an email notification of these Design Registrations, once submitted.
Bulk Upload Template
The Bulk Upload Documents link on the Partner Portal Home page connects here, where you will find the most up-to-date Bulk Upload template and template description files. Additionally, clicking on the Eligible Products link on the Partner Portal main page, or selecting the Design Registration Eligible Products report in the Reports tab, will provide you with the latest list of products that are eligible to be used in your design.
There are three different types of columns in the Bulk Upload template: File Level Columns, Product Columns, and Header Columns.
A chart with all the template column names, along with complete field descriptions, is available in the Download template descriptions link above. The chart also identifies which columns are required for submission.
File Level Columns
The Group ID is a unique identifier provided for each registration, consisting of one header and one or more products.
The Product/Header column indicates if the data in that row is for the product or the header.
These are the File level columns in the template. In the graphic to the right, Group ID 1 has 1 header and 4 products. Group ID 2 has 1 header and 1 product. Group ID 3 has one header and 3 products.
Header Columns
Header columns provide header related data for the Design Registration.
These are examples of Header columns in the Bulk Upload template.
Product Columns
Product columns provide product-related data for the Design Registration.
These are examples of Product columns in the Bulk Upload template.
Bulk Upload Process
To begin the process, click the Bulk Upload tab.
The three main steps for a bulk upload are noted in the resulting Bulk Upload window.
- If you have not yet downloaded the proper upload template, you will first click the Download button.
- Once your template spreadsheet has been filled in, you will upload it using the Upload area. More details on this process follow.
- Once your template has been uploaded, you can view the design registration results by clicking the Open List View button.
Design Registration Template – Steps to Upload
In order to upload multiple Design Registrations using the Bulk Upload feature, you will first need to download the template. To do this, click the Download button shown above, on the Bulk Upload tab. The template will be copied to your default download location.
Open the template and add the content for the Design Registrations that you would like to upload (refer to the Bulk Upload Template information on this page for help with this).
Key Points and Reminders
- Once the template is filled out, you must save it as a .csv file to maintain the UTF-8 format prior to upload.
- Owner field should be left blank. The email of the importer will be auto populated during the upload.
- Dates need to be in US date format (mm/dd/yyyy).
- Columns can be rearranged in the template, but the column names cannot be altered, nor can there be columns without a column name.
Once you have completed the template, navigate back to the Bulk Upload window. You have completed step 1.
Once you have completed the template, you will need to upload it (step 2). To do this, you can either drag your template file to the drop files part of the browser window, or you can click Upload Files.
Either way you choose to select your file, the result is the same. Your file name will show just above the Upload button. It is selected but not yet uploaded.
To complete the template upload, click the Upload button. The system will indicate the success of your upload with the Success!! pop-up as well as “Uploaded Successfully” being added to the text above the Upload button.
Important—If a Design Registration has already been approved/locked, the upload will fail if the file includes header-level changes. Updates to product lines are allowed.
Design Registration Template – Viewing Upload Results
To verify your upload, click the Open List View button (step 3). The Design Registration Stage window appears.
Using the information available to you on the Design Registration Stage window, review record detail in order to validate individual line items for each uploaded design registration.
- To see the latest upload results, sort by the Created Date column. You can also create your own list view and filter by Batch ID in order to view only the result of your recent or desired upload.
- Click the Stage ID link to view individual lines for each record in the file uploaded.
- Click the Batch ID link to access summarized details for a specific upload.
- Failed product or header lines will display as Failed along with a corresponding reason in the Message column. No record will be created for that Design or Product.
Use the Design Registration Batch information for the upload to access details regarding failure messages.
Click the Batch ID for the upload (from the Design Registration Stage window) to view Batch information. The Design Registration Batch window for an upload displays Total Rows uploaded, Design Count (how many pass/fail) and Product Count (how many pass/fail).
To access a more detailed report for the upload (helpful for failed uploads), click the Design Batch Report link.
This report can be exported. For failed lines, necessary updates can be made to the exported file, and then reloaded into the system (the first 4 columns of the exported report will need to be removed before uploading).
NOTE: If no results are showing for the report, copy and paste the Batch ID for the report into the report Filter area.
